What dou you guys think? Can it be done and should we try?
The largest parade of 4x4 vehicles consisted of 3,529 vehicles and was organized by 4Wheels Events (Puerto Rico) between La Milia de Oro and La Guancha in Puerto Rico, on 15 November 2009.
The organizers registered 3,529 vehicles in the logbook, after which they run out of sheets. But they continued to sell tickets (5,210 in total) until they ran out of those as well. The stewards claim that they counted 8,246 vehicles in total at the start and finish lines. However, since only 3,529 were verified by the logbook and confirmed by both independent witnesses we can only confirm this number as Guinness World Record.

Without a doubt! Maybe, to increase participation we could challenge the Landy Club, 4x4 community and whoever else there might be to see who can get the most vehicles there? All in good spirit. A kind of a fun day that can interest the bigger companies (i.e brands) that actually have a fairly large advertising budget. Then Wegry, drive out etc can be involved and a fairly big day can be arranged!
Speak to Pick & Pay or some chain store and get them involved too. At the end of the day you sit with a few large corporations that are involved, tv coverage and it all started on our humble site!
Of course, their spin off is the good publicity that they will get.

The fact of the matter is that this is a huge task to pull off, not a 1 man job as such and in the same breath will not be able to be planned in a month or 2. It will take a huge amount of time, fine planning and dedication but I am sure we Hilux4x4 guys CAN and WILL be able to pull it off.
Before we attempt planning something like this we need to decide is it worth it? Who will be willing/able to assist in the planning and so on? I am already in contact with the "Unite Against Poaching" guys and should we go for this I am sure they will hop on board. We will obviously get as many of the other clubs involved as possible as well as Manufacturers. Possibly 4x4Megaworld, LA Sport and so on involved as well. Looking a chains and so on would be beneficial as well as mentioned above. The big thing would be to have the word spread around to gain interest, venue, publicity. Costs involved will be extremely high but should we get sponsors who could assist it should not be a problem.

Definately not something you can plan in two months. I agree, first hear if the members are up for it. I will start looking out for a potential venue here in the FS. We need an indication of how many vehicles we would like to attract, then the number of people expected, toilet facilities etc. Overnight facilities and so on. This same organization already has contacts with Spar, Pick 'n Pay as well as Checkers so they may be our doorway to those guys. But once again, let's first hear what the members say.

Having been involved in a small part of the organising for the Hilux 40 Year Guinness world record attempt, all I can say is, it is going to take a LOT of work.
We need to get together a small "organising committee" of guys who will be able to investigate the viability of such an attempt. Sponsors and the guys who gives money, venue, other clubs, forums, etc etc will also want to be part of this committe. But before we even get there, we'll have to get a proper business plan together in order to convince the big sponsors to support the initiative. This committee is going to work their backsides off to keep the momentum going...
The guys at Guinness World Records is also a hard nut to crack. We need to prove a whole lot of things before they even think of hopping on a plane to come to SA.
As was said before,this is not something that will be done in a month or two, come lets aim realistically at late 2013 or some time around there.

Me thinks it must be close enough to the big cities so people can easily drive there.
The highest concentration of vehicles are in Gauteng and if people do not have to drive far and also worry about accommodation (one day outing) it can work much better, you will get more people involved.

Ok so I'm in.
A venue in the kroonstad area might not be a bad idea.
It's midway between Bloem & JHB, 600km from natal and the guys from the cape might then support us as well.
There is an aventura at Allemanskraal dam with a lot of chalets plus there's plenty of camping space, restaurant etc. 3km down the road is the Willem Pretorius game reserve that can also house a lot of people, ablution facilities, camping space etc.
Most important, being in the free state, a lot less costly than the larny places in the gauteng area. Also, because it's out of town we can get away with marshals and don't need to sukkel with the local speedcops.
Then when all the vehicles are ready we double up for the longest 4x4 convoy through a game reserve? They also have 3/4 rhino there.
Just a thought, we need a place that's fairly central so that it's easier to attract guys from afar. Which ever place is decided upon, it might be best if those arranging the event meet before hand at the venue so as to see what exactly is available. Makes planning a lot easier.

Thanks Shane for your input and ideas.
I have been in contact with "Unite Against Poaching" and they are all for the idea and once we decide they wil gladly take part and assist where they can. We could even possibly have some sort of prize or so to give away to 1 lucky guy who attends, something like a holiday at the Kruger os so.

Franciso, I will help with advice where I can and thanks for the vote of confidence,but I think the main peanut, and his 5 main sub-peanuts should be JHB based guys. For the simple reason that most of the big sponsors, etc as well as the biggests concentration of 4x4'ers are based up your way. Hier in die Kaap draai die wiele stadig, and if the comm's lines get too long things dont get done or fall between the cracks. Regular feedback and planning meetings are required, and trying to do that with guys scattered over the country just complicates things. We experience that with SANOTA as well, even though we do teleconferences. I am also quite busy with my commitments to SANOTA, 4x4 training, Hilux Club and then a full time job as well, so I would rather give somebody with more time available the opportunity to drive this one.
I am willing to work with a CT based sub-committee if the need for something like that arises.

Now I'm not about to step on anyones toes - just throwing some ideas around. The 4x4 rally thing is nothing new. The trick is to try and put a new slant on things. In the past (from what I understand) the main drive has been to try and get a new record with the most of a certain brand (toyota, landies etc) together and only one record was targeted.
What if we aim for a few records at once?
1. Most 4x4's in one place (all types).
2. Most toyota 4x4's in one place.
3. Have the Landy guys try and beat their record at he same time. (As long as we beat them too)
4. Have the most 4x4's in convoy through a game reserve i.e. longest convoy game drive.
Then we challenge the landy guys to see who brings in the most money for our cause. Each vehicle has, say, a R100 entry fee. Therefore the brand with the most vehicles automatically brings in the most cash. 2000 vehicles = R200 000. That's excluding any sponsors and good will donations!
Yes, this is a big task but then so was landing the first guys on the moon! It's not impossible and the only limits are those we impose on ourselves! Guys this can be done. But we definately need a better response from our own members before we can even think of taking this on! Even if it's only a commitment to be there on the day. Of course it's possible ..... besides the organisation of such an event, the next hurdle is one of logistics .... we are spread all over the place. Now the Gauteng area and surrounds has the biggest population and also the biggest membership, but to achieve a Hilux record with active members that will be willing to participate, you will need a fair amount of participation from the other provinces. If then you choose a more central location, will you still have the volume you might otherwise have had from Gauteng? Not everyone will be prepared to or be in a position to shell out for fuel and accommodation ...... as an example, fuel alone there and back would cost me about 2.5K with my thirsty bus .... others that are more further afield will find themselves in the same situation.
Now if we were to combine the record attempt with a National GTG, then there is an added incentive, making a complete long weekend out of the excursion. We also 'kill 2 birds with one stone' since there was also talk about arranging a National GTG.
Just my immediate thoughts.

Yes, I think is we could all join together in this one. All regions but wee need more involvement by the members. A national gtg is a great idea. Unfortunately as you mentioned oom Andy not everyone can afford a trip like this no matter how great the cause is but I am sure we can do it.
Lets make a decission here on if we are going to try or not. Then work from there.

I think a poll at this stage would be a good idea in order to assess the extent of membership interest. What you could do is to divide the poll into the different regions, then you would be able to see the extent of members / interest from each region ... might also help in choosing a venue.

We must not get ahead of ourselves. This is going to be a big task, just like eating an elephant! But it is possible with careful planning and taking small chewable chunks.
Logically the event should be as close to the biggest concentration of 4x4's in the RSA. Up North. Costs are a blixim but those who cannot physically attend the event and still want to contribute can do so in the form of donations. I am sure if we get all the Sandton 4x4's involved as well, we'll be very close to the record.
We should also not limit this to an Hilux4x4 event. We must get the 4x4 Community forum and LCCSA and others involved. The AAWDC is also a good body to use to spread the word. I know we dont like them but they are connected to most other 4x4 clubs.
Remember that the Hilux40 Guinness record attempt also started as braai-fire banter over a few beers. It took the guys almost a year to plan though!!

From the beginning I did not think that we (Hilux4x4) would be able to do this alone as we rely on all brands to take part of such a humongous event. If it was another Hilux record alone then no problem. The only way we can pull this off is if we involve as many of the other clubs as possible but we must be practical about this. Do we form a committee with say 5 people from each of the other clubs including us? Let’s say there are 10 clubs in total, which makes 50 committee members driving this project, each with their own way of doing things. It is going to become a nightmare.
I would suggest that we get a dedicated committee together and invite the other clubs to join us in this quest but that they also form a separate discussion where they also make plans and so on but only 1 or 2 members gives us feedback. These individuals will form part of the main committee (Record attempt committee).
This combined committee does all the work like contacting possible sponsors unless certain individuals from the different clubs have connections which are not on the committee but this must be brought to the committee’s attention for discussion, identifying possible venues, possibly even scout out the venues together.

Agreed Francisco. We need a lean and mean "steering committee" to run this thing, otherwise this is going to become an exercise in analysis paralysis and red tape. We do need input (reps) from other clubs, especially the bigger ones, but not 5 people from each only 1. We also should have only 2 or maybe 3 reps on the committee. I know the LCCSA and the AWDCSA have been involved in organising big events before, so their input will be invaluable.
I also dont have a clue how to compile a proper business plan for something like this, so if there are people out there who can assist, please help.
I will tow the Hilux to the event with my Ford, just to have 2 vehicles there to make up numbers!!!

I have just had a chat with Shane (Baasvark) and has given me a little more detail as to where he could possibly get us in to in terms of organizations who might be interested in getting onboard with this idea. Thanks Shane. But before we ask him to plant the seed for us we need to get our own members onboard. Now I know people don’t want to commit and that is not a problem but we need to see who thinks this is a good idea or not on the home front as to try and ascertain how many of our own member will be keen to join in on this endeavor. This must be done with the other clubs as well and once we have a feel for how many people are interested it will make the initiative more appealing for organizations to get involved.
Eg. Hilux4x4 – 300 members, 4x4 Community forum – 900 members, Nissan club – 300 members, LCCSA – 500 members) that makes a total of 2000 members willing to participate (only at club level and not those Sandton juppies and so on who are not part of a club might also just attend). Note, this is not a commitment by anyone that they will attend but just a way of a count to say that they would be willing to participate. Once the intended organizations see this they might see it as a possibility for them and then be willing to spend some money, time and resources to spread the word to all and in turn they receive publicity and so on. A sort of marketing campaign if you will. It won’t work if we go to them and say we have 10 guys wanting to attempt the near impossible.
Just a sugestion.
What you guys think of maby staring a seprate tread with just a list of names to do that count? No comments, just names per vehicle. eg,
1: Francisco - Ali3n (Hilux)
2: Riana - Rafs (Terios)
3: etc...
The toppic heading: "World record attempt (possible attendance)" with a link to this thread? We might need to place the topic where everyone will see it. Could we possibly send out an email or so to the members?

We can ask the main Hilux4x4 Club Newsletter Writer to include this thread in the next newsletter, and maybe Cassie can do a group email to all Forum members (who are not club members) to maximise the footprint?

Planned record with possible smaller records.
Main record: Most 4x4’s in a parade (Any make, any model) will try and find out what are the requirements to be classed as a 4x4)
Extra records which could be attempted but not main focus:
Breaking the Hilux record
Longest 4x4 convoy
Longest Hilux (Toyota) convoy
Longest LR convoy
Longest Nissan convoy
Add to the list should you think of something but keep in mind that this is not the main focus, these are just added extras.
I think to get the convoy records done we can try and position the vehicles in the parade in such a way that you get “make by make”. Eg, All Toys then all LR’s then all Nissan etc in one line.
Will start the list thread.

It seems like we are getting a reasonable response from the guys here so I think we should maybe ask the other clubs if they would like to participate by starting a thread like we did for names to determine the response. Only if we all agree on it. I received confirmation from Nico at the Nissan4x4 club and they say we can count on them and they are in. Any of you guys have contacts at the other clubs? If everyone agrees here please ask them if they would be interested in taking part and start the same count? If you do not want to do it yourself, please pm me their e-mail addresses and I will send them an e-mail.
Was also thinking after reading Heinrich’s comment that it might be a good idea to firstly find out if WegRy/DriveOut would be interested in this project before we go to the radio. Might be a little early for that.
