OK, I found the info, we need 6 vehicles: Please indicate who is in. From previous experience I say we must get 8 vehicles who say they are in so we have two reserves just in case somebody cant make it. We also need 10 marshals.

Dear AAWDC Cape Member Clubs

Re: 2011 AAWDC Cape Interclub Family Day

The yearly interclub family fun day (known as the above) will take place on Saturday, 12 November 2011, at Melkbos 4x4 near Melkbosstrand. This year it is being organised by the Isuzu Offroad Club in conjunction with the AAWDC Cape Committee and members of last year’s Planning Committee.

This family day has been implemented to foster better interclub relations between the Member Clubs in the Cape Region. An appeal is made to the committees of the Member Clubs to encourage their members to take part in this family day. The sole function of this day is to have fun and enjoy ourselves.

Briefly the details:
1. The event will take place on Saturday, 12 November 2011, at Melkbos 4x4.
2. The event is open to all Member Clubs of the AAWDC Cape, but will be limited to the first 8 Member Clubs that respond with full payment of the entrance fee of R1 200.
3. Each Member Club can enter their club team consisting of 6 member teams, i.e. 6 vehicles, with a driver and co-driver, preferably a family member. Family participation is encouraged and will be rewarded, so passengers are most welcome while taking part.
4. The entrance fee is R1 200 per club team which includes goodie bags and lunch for each of the 6 drivers and co-drivers in the club team.
5. The entrance fee of R1 200 has to be paid in full and up front into the bank account of the AAWDC Cape by each club team. The bank account details are supplied on page two of this letter.
6. The cut-off date for the payments is 31 September 2011 (ONE single R1 200 payment per club team).
7. The entrance fee covers the entrance fees to Melkbos 4x4. Melkbos 4x4 members will not be eligible for discount.
8. All indemnity forms to be completed, signed and e-mailed or faxed through with the entry forms beforehand.
9. Each participating club team will be responsible for setting up its own gate according to the instructions and standards of the Planning Committee. The club team must marshal this gate on the day as well. Each gate should have a minimum of 5 and a maximum of 10 marshals. The more marshals, the more points will be added to the club team’s score. The manner in which the marshals run and decorate their gate will also contribute to the score of the club team.
10. There will be only one class of vehicle, regardless of modifications.
11. Only roadworthy, licenced vehicles that arrive on their own ‘steam’ will be allowed. No towed vehicles or temporary licenced vehicles will be allowed.
12. Each member team must have a full recovery kit, recovery points and all the necessary safety equipment, e.g. fire extinguisher, spare wheel, first aid kit, etc.
13. Safety belts will have to be worn at all times. All vehicles must be fitted with safety belts; no exceptions.
14. Family involvement will form part of some of the gates which will count towards the total score for the club team.
15. The emphasis is on having fun and not damaging vehicles.
16. The gates will be set up during the weekend prior to the event (5 & 6 November).
17. Club teams are allowed to approach the Planning Committee with reasonable offers of sponsorship for their gate. This will allow the sponsor to decorate and have a display at that gate. More details regarding the cost of such sponsorships will be supplied in the next letter.
18. The entrance fee for spectators is R10 per adult and scholars (and younger) enter free of charge.
19. Spectators will have to sign indemnity forms as well.
20. Catering at very reasonable prices will be provided during the day at the lapa.
21. Ablution facilities are available at the lapa as well as.
22. No drinking and driving will be allowed. The area where the gates are to be run will be an alcohol free zone for competitors and spectators alike during the event.
23. There will be a licenced bar which will open once the last gate has been completed.
24. There are facilities for a bring-n-braai style ‘kuier’ around the lapa after prize giving.
25. The camping area will be available to about 30 people free of charge on a first book first camp basis. No shower facilities are available at the lapa, only toilets. The camping area will be open from the Friday.
26. Please join our Facebook Group, AAWDC CIF DAY, if you wish to get updates regarding the CIF Day as soon as new details are released. Please also encourage your members to join our group. This is not the only way in which we will send out updates, so being a Facebook friend is entirely optional.

If more than 8 club team applications are received the Planning Committee will investigate the feasibility of accommodating two additional club teams of 6 vehicles each. However, the Planning Committee’s final decision in this regard will not be negotiable.

Last, but by no means least … please nominate a Club Representative for your club team and direct him/her to forward your intention to participate in the family day by e-mail to Loizet Heyl at loizet@isuzuoffroad.co.za. This representative should, wherever possible, also be the only person from your club to communicate with the Planning Committee.

The idea is that the gates will be able to be done by stock standard vehicles so it is not necessary to have a heavily modified vehicle to take part. The emphasis is getting all the Clubs together and having fun.

This will be my third year assisting the 4xComm guys.

Last year was "lekka" ! Or obsticle was right next to the Hilux one, thus I spent my day with my friends from BOTH forums. :)

come on guys, really looking forward to seeing the joyeous bunch of Hilux guys out in full force. :)

I just want to add,that you score extra point when SWAMBO is your co-pilot and when you have family in your Hilux, children, mother in law etc....

So it is not really about the guy with the most modyfied vehicle but just about having fun with your family and your LUX.

I informed Ashley that we will enter and it seems as if the spot has not been taken yet.

So you guys can pen the date into your diaries.

We need to choose a team captain and it must be somebody who stays in Cape Town as there will be one or two meetings to attend before the time.

Whoever the team, leader will be must please see that all the drivers complete the attached entry form.

Hi Pieter

The meeting I spoke about last night is only for Planning Committee and AAWDC Committee so no meeting for Club Reps yet.

But that doesn't mean Hilux should not choose a Club Rep yet. The Rep will be the person that talks to the Planning Committee, doesn't have to be a captain.

I.e will liaise to get indemnity forms in, meet with planning committee about a month before the event to hand over indemnity forms etc. arrange marshals to lay out gate on weekend before etc....

Basically need a good organising person

Good News - Pieter has requested that I stand in as Klas Kaptein which I have accepted.

Bad News - According to the document that Butcher has sent us We need between 5 - 10 Marshalls - thus we need to get more hands onboard.
